Pilot theoretical sampling applies the logic of theoretical sampling — selecting participants based on emerging concepts and theory — within a deliberate pilot or preliminary phase of a study. Rather than committing immediately to a full sampling strategy, the researcher conducts a small initial round of data collection and analysis to test whether theoretical sampling is feasible, to refine the sensitizing concepts guiding participant selection, and to identify whether the field is productive before full-scale data collection begins.

When to use it
Use pilot theoretical sampling when you are planning a grounded theory or other qualitative study that requires emergent participant selection, but you have genuine uncertainty about whether your sensitizing concepts, comparison groups, or field sites will yield productive theoretical variation. It is especially valuable in under-explored domains, cross-cultural settings, or when access to target participants is uncertain. Do NOT use it as a substitute for a full theoretical sampling design — the pilot is a preparatory phase, not the study itself. Avoid it when you already have strong prior knowledge of the field and clear conceptual categories, as the overhead of a formal pilot phase is then unnecessary. It is also inappropriate if you need a probability-based or statistically representative sample, as theoretical sampling is fundamentally qualitative and non-probabilistic.

- Consistent with grounded theory's iterative logic — the pilot is not an add-on but an extension of the emergent design principle.
- Adds time and resource overhead to a study; not warranted when the researcher already has strong field knowledge.
- The pilot sample itself is generally not incorporated into the main study's theoretical saturation argument, so it does not reduce the total number of participants needed.
- Emergent decisions made in the pilot may be difficult to document in sufficient detail for methodological transparency.
- In constrained access settings, using participants in a pilot may exhaust a limited pool before the main study begins.

Is pilot theoretical sampling a distinct method or just a study design decision?
It is best understood as a purposeful methodological decision within a qualitative study design — specifically, the decision to conduct an explicit pilot phase governed by theoretical sampling logic before scaling to full data collection. It is not a standalone method in the way that grounded theory or phenomenology are, but it is a recognized and justifiable practice with its own procedural logic.
How many participants are needed in the pilot phase?
There is no fixed rule, but 3–8 participants is typical for a qualitative pilot. The criterion is not a number but whether the pilot has generated enough preliminary data to meaningfully refine the theoretical categories and comparison groups guiding the full study. Fewer participants may suffice if the theoretical categories quickly become clear; more may be needed in complex or heterogeneous fields.
Can the pilot data be included in the final analysis?
This is a judgment call that should be made explicit in the methods section. If the pilot data were collected and analyzed under the same protocol as the main study, and the theoretical categories they generated were not substantially revised before the main study began, they may be includable. However, if the pilot revealed that the protocol needed significant revision, the pilot data are better treated as developmental and excluded from the main analysis.
How does this differ from adaptive theoretical sampling?
Adaptive theoretical sampling refers to the continuous, iterative adjustment of sampling decisions throughout the entire study as new data and concepts emerge — this is the standard logic of grounded theory. Pilot theoretical sampling specifically refers to a bounded preliminary phase conducted before the main study, with the explicit purpose of testing and refining the sampling strategy. The pilot has a defined end point; adaptive sampling continues until saturation.
Do I need to report the pilot phase separately in my paper?
Methodological transparency requires at minimum acknowledging the pilot phase in the methods section, describing how many participants were included, what the pilot revealed, and how it changed the subsequent sampling strategy. Some journals will expect a fuller account; others treat it as a brief note. The key is that readers can understand why your final participant selection took the form it did.
