A pilot-tested semi-structured interview combines the flexibility of semi-structured interviewing — a guide of open-ended questions allowing conversational depth — with a mandatory pre-study pilot phase in which the guide is trialled on a small subset of participants or informants. The pilot reveals ambiguous questions, poor sequencing, and missing topics before the main data collection begins, substantially strengthening the validity and efficiency of the final instrument.

When to use it

Use a pilot-tested semi-structured interview when: the research questions are exploratory or explanatory and require depth; participants' experiences, perceptions, or reasoning processes are the focus; the phenomenon is insufficiently understood to permit fully structured questioning; and the study is high-stakes enough (postgraduate research, grant-funded projects, multi-site studies) to justify the additional time a pilot requires. Pilot testing is especially important when the topic is sensitive, the participant group is hard to access, or the research is conducted in a language or cultural context that differs from the researcher's own. Do not use this approach if resources allow only a single contact with each participant and a pilot would exhaust the available sample, or if a highly standardised instrument is needed for quantitative or comparative purposes — in those cases a pilot-tested structured interview or questionnaire is more appropriate.

How many participants do I need for the pilot?

The typical recommendation is two to five participants for a qualitative interview pilot. The goal is not statistical sufficiency but practical feedback: enough people to reveal recurrent comprehension problems or missing topics. Van Teijlingen and Hundley (2001) suggest that even a single pilot interview can surface major instrument problems, but two to three sessions provide a more reliable indication.

Can pilot participants later join the main study?

In most methodological guidance they cannot, because their familiarity with the guide — and possible influence on its revision — compromises independence. However, if the guide was unchanged after the pilot and the researcher explicitly acknowledges the dual role, some traditions (particularly in action research) permit inclusion. The safer and more widely accepted practice is to keep pilot and main samples separate.

What is the difference between a pilot test and cognitive interviewing?

Cognitive interviewing is a structured pre-testing technique in which participants verbalise their thought processes as they respond to each question, specifically designed to uncover comprehension problems. A pilot test is broader: it assesses the whole interview process — flow, timing, rapport, and practical logistics — not just question comprehension. Cognitive interviewing is more common for questionnaire pre-testing; a pilot interview session is more common for qualitative guide refinement, though the two can be combined.

Does piloting guarantee validity?

No. Piloting reduces the risk of obvious instrument deficiencies but cannot guarantee validity, which also depends on sampling adequacy, interview skill, analytic rigour, and transparency in reporting. A well-piloted guide administered poorly will still produce poor data. Pilot testing is one component of a broader methodological quality framework.

Should I report the pilot in my methods section?

Yes. Reporting that the guide was piloted, how many sessions were conducted, what changes were made, and why strengthens methodological transparency and is increasingly expected by journal reviewers and thesis examiners. A brief paragraph suffices; detailed pilot notes can be included as supplementary material.
